Getting Started

How far in advance should I reserve my equipment?

It is always best to allow as much lead-time as possible.  Summer and fall are especially busy times for us.  We encourage all of our customers to contact us with as much lead as possible to ensure that we have the best availability of equipment to make your event a success.  Since there are many details to address when arranging a special event, planning ahead provides the most satisfaction and peace of mind.

What do I need before getting started?

Prior to making contact, you should have a date, a location and estimated guest count.  The location and tent surface influences the type of tent. The delivery location, date and time determine the delivery fees.  The guest count defines the tent size.  Pricing is typically based on the type and size of the tent along with the delivery information.  Without some basic information, pricing may not be accurate.    

How do I know what size tent I need?

The dimensions of your tent are based on the activities planned, including the number of guests, type of seating, food and beverage service, band and dancing.  Extra room is needed if you want a bar, dance floor, DJ or band, or additional tables for buffet, cake or gifts.  We are here to help determine the most effective tent size to accommodate your activities and available space.

Can you install tents over decks, patios or driveways?

Yes, our frame tents can be installed over decks, patios or driveways with ground staking or weight anchoring to accommodate any given space.  Frame tents can also be placed against other tents or structures.

Can someone come out and look at the area for a tent?   

A site inspection can be scheduled to determine the appropriate tent size and placement.     

What if a piece of equipment is not listed?

If you are in need of equipment that is not listed, please contact one of our event planners with your request. We will do our best to accommodate your needs.

How do I get pricing for the equipment I need?

To get started, you can call our office or use our on-line Request a Quote form.  If you complete an on-line Request a Quote form, we will contact you if we have any questions about your event.  We are happy to offer step by step assistance with one of our experienced event planners.  We can guide you through the process as well as provide spectacular ideas and pricing. 


Proposal / Contract

How do I reserve my equipment?

A formal Proposal/Contract is emailed, faxed or mailed to you for your review.  It includes a detailed list of equipment including pricing, payment, delivery and pick-up information along with any other special instructions or handling.  To confirm your order and reserve your equipment, a signed Proposal/Contract is needed.  We accept checks or credit cards for payment.  If you plan to pay via a credit card, a signed Credit Card Authorization form is required. 

What are your delivery and pick-up fees?

Delivery/Pick-Up fees are unique to each event and are based on location, time of Delivery and Pick-Up and any special Delivery or Pick-Up instructions.  The most economical deliveries are flexible, on weekdays during regular business hours.  If you have any specific delivery or pick-up requirements, please let your event planner know so they can be factored into your contract and our delivery schedule.  Delivery charges include delivery, set up and pick-up of tents and equipment unless noted in the Proposal.  All fees are included in your Proposal.

When is final payment due?

Any remaining balance is due upon Delivery of equipment unless stated otherwise in the Proposal. 

Delivery Of Equipment

What if there are changes to the order? 

We are happy to offer our full attention along the way to accommodate changes that may be needed.   Your final order will be confirmed during a walkthrough of your Proposal a week prior to your event, including quantities, colors and any last minute changes.  We confirm a site contact at this time.    

When will you deliver my equipment?

Unless specified in your contract, we generally deliver a day or two ahead of your event during business hours based on weather, location and our delivery schedule.  Please let your event planner know any specific delivery or pick-up requirements.  We will try to accommodate requests for any special Delivery or Pick-Up times.  We will communicate a window of time for the delivery.  We will call the site contact when we are on our way. 

What do I need to do prior to delivery?

Make sure that the installation area is ready when the crew arrives.  All grass should be cut and other landscaping completed prior to the arrival of the crew.  The installation area must be clear of all furniture and equipment and be ready when the crew arrives.  Unless specified in the contract, all deliveries are ground level and are within 100’ of truck access.  We do not move, set-up or install any items or equipment not owned by us.

What should I do about underground electrical wire or sprinkler systems?

For tent installations, we are required by law to contact J.U.L.I.E. or Chicago Dig or Michigan or Indiana underground Utility Location Services to mark all underground public utilities.  This allows a tent to be staked into the ground.  We need ample notice to notify them prior to a tent installation.  It is the responsibility of the client to provide accurate placement, by marking all privately installed underground utilities including lines for sprinkler system, gas grill and outside lighting in addition to any underground obstructions such as a septic system.

Do I need to be home for the delivery?

Yes, there must be a site contact or customer representative present at the time of Delivery to give our crew direction about the exact placement of the tent/s and the equipment and to sign that the placement and the quantities are accurate.   

Pick-up Of Equipment

When do you pick-up equipment?

Unless specified in your contract, we generally pick-up a day or two after your event during business hours.  We do not schedule exact pick-up times, but can communicate a window of time for pick-up.  You are responsible for securing and covering, if needed, all equipment until pick-up.

Do I need to do anything prior to Pick-Up?

Linens should be dry and free of moisture with excess food and debris removed.  We ask that all food service products be rinsed of all food and liquids, dried and returned to the crates and racks in which they were delivered. Grills should be cool, empty and clean. Anything not provided by Indestructo must be removed from under the tent prior to pick-up, including your decorations, lights and personnel items.  Upon pick-up, we walk through the site, removing all equipment leaving the grounds in the same condition as we originally found it.  In the event there is staking into asphalt, cold patching will be suggested and reflected in your Proposal.

Customer Pick-up

Can I pick up my order?

All tents must be installed and removed by our staff.  We do not carry any self-install tents or canopies.

Other equipment can be picked up Monday through Friday, 9am to 4pm.  You will need a driver’s license and major credit card to Pick-Up equipment.

Payment

What are your payment options?  

We accept checks or credit cards (Visa, MasterCard or American Express).  If you plan to pay via a credit card, a signed Credit Card Authorization form is required.  Corporate clients may establish open credit subject to approval. 

What is your cancellation policy?

When you confirm your order, we reserve our rental inventory for your special event.  Orders cancelled 7 to 30 days prior to delivery are subject to a 50% cancellation charge.  Orders cancelled between 1 and 7 days prior to delivery are subject to a 75% cancellation charge.  Orders cancelled less than 1 business day prior to delivery are subject to a 100% cancellation charge.  

Quality And Safety

Do you rent self-install tents or canopies?

All our tents must be installed and removed by our staff.  We do not carry any self-install tents or canopies.  All our tents are manufactured in the USA by one of the oldest and most trusted companies that adheres to the highest standards of safety within their products.  We also follow stringent guidelines for installation and will never minimize safety for cost.  With our unpredictable weather conditions, durable rental equipment with proper installation is very important to us. 

What do I need to do about underground utilities or sprinkler systems? 

For tent installations, we are required by law to contact J.U.L.I.E. or Chicago Dig or Michigan or Indiana underground Utility Location Services to mark all underground public utilities which allows a tent to be staked into the ground.  We need ample notice to notify them prior to a tent installation.  It is the responsibility of the client to mark all privately installed underground utilities and underground obstructions including lines for water, gas and electric for a sprinkler system, gas grill, gas fireplace, swimming pool or septic system.     

We also comply with all municipal safety requirements and standards.  Any special circumstances that may need attention should be discussed with your salesperson to be accommodated.

Are your tents fire retardant?

Our tents are fire retardant and Flame Rating certificates are available upon request.

Are you insured?

Indestructo is fully insured including Workman’s Compensation and General Liability.
